1. Contact Your Employer

Save time and request a new copy of your W-2 quickly through your employer. If you’re in a hurry, contact the HR or payroll department at your place of business and they are obligated to send a new copy as quickly as possible.

When you request a new W-2, verify that the original copy was sent to the correct address; it’s not uncommon for W-2s to get sent to the wrong mailing address due to a clerical error, so use the opportunity to correct their records if needed.

Your employer might offer a digital copy of your W-2, which you would likely receive faster than a paper replacement. Before you call, check your email to see if a link was shared that allows you to access your W-2 online through a Tax Form Management system.

What If My Employer Never Issues My Form W-2?

If you still don’t receive your W-2 after you’ve requested a copy from your employer and the IRS, you can send a Form 4852 Substitute for Form W-2, Wage and Tax Statement. Fill out and attach Form 4852 to your return with your best estimate of income and taxes withheld, and send it in. The easiest way to fill out substitute Form 4852 is to use information from your last paystub. Always submit your form by the current tax deadline to make sure you get approved.

2. Contact the Internal Revenue Service

If your employer fails to comply in a timely manner, you can always contact the IRS directly to access your tax records. If you don’t receive your Form W-2 by February 14, you can call the IRS at 1-800-829-1040. When you call, you’ll be required to provide detailed information to prove your identity and get your W-2, including:

  • Your name, address, city, state, and zip code
  • Your Social Security number
  • Dates of Employment
  • An accurate estimate of wages earned and federal income taxes withheld
  • Best phone number to contact you

After they verify your identity, they’ll send you a copy of your W-2.
